About the Role
We are looking for a detail-oriented and responsible Human Resource Generalist to manage payroll, employee claims, HR administration, and office administrative functions. The ideal candidate should have strong knowledge of Malaysian statutory requirements and be able to ensure smooth day-to-day HR operations while maintaining confidentiality and compliance.
Key Responsibilities
Payroll & Compensation
Prepare and process monthly payroll accurately and within the stipulated timeline.
Maintain payroll records, attendance, leave, overtime, and salary adjustments.
Coordinate payroll matters with the Finance team and external payroll providers (where applicable).
Ensure compliance with Malaysian statutory requirements including EPF, SOCSO, EIS, and PCB.
Prepare payroll-related reports and resolve payroll discrepancies promptly.
Employee Claims & Benefits
Process employee medical, travel, and other reimbursement claims.
Verify supporting documents and ensure timely reimbursement.
Administer employee benefits and maintain accurate records.
Respond to employee enquiries regarding payroll, claims, benefits, and statutory deductions.
HR Administration
Maintain employee personal files and HR documentation.
Prepare employment-related documents including offer letters, confirmation letters, transfer letters, and other HR correspondence.
Monitor employee attendance, leave records, and maintain HR databases.
Ensure HR records remain accurate, confidential, and up to date.
Support onboarding and offboarding activities, including documentation and orientation.
Office Administration
Manage office utility accounts and monitor monthly expenses such as electricity, water, internet, and telephone.
Coordinate utility bill payments and liaise with service providers when necessary.
Maintain office administrative records and support daily office operations.
Coordinate office supplies and general administrative matters.
Compliance & Reporting
Ensure HR processes comply with the Malaysian Employment Act and company policies.
Prepare monthly HR reports covering payroll, attendance, employee claims, and administrative expenses.
Support internal audits by maintaining proper documentation and records.
Other Responsibilities
Assist in implementing HR policies, procedures, and best practices.
Support employee engagement activities and HR initiatives.
Perform any other HR and administrative duties assigned by management.
